Email annoyances are one of the biggest pains simply because so many people rely on email. One
such annoyance is the problem Microsoft Outlook users run into when copying content from one
email into another and seeing the format changed. I've seen too many people flustered by this
scenario.
We've noticed this annoyance occurs when different message formats are involved, specifically plain text to HTML. Although HTML email is the default setting for Microsoft Outlook, many organizations rely on plain text when sending emails. Typically, this isn't a problem until a user references a portion of one email and copies it to another. The pasted results do not match their expectations. The simple example below illustrates how the plain text email is received in Microsoft Outlook. As you can see Lines 1 through 4 are together. If I copy the text from this Plain Text email and paste it into a new HTML email, I get extra lines. For short emails, this is a non-issue, but can lead to long emails in other situations. There are several methods to correct this issue. I think the best method is to apply a style to the text. I prefer this method as it offers more control and works more often. You can apply the style on the entire email, or parts. To apply a style to the copied text, 1. Highlight the text in the new HTML email you would like to change. (If you wish to change the entire email, you can press Ctrl + A to select all the text.) 2. From the Format menu, select Style 3. From the Style menu, select Normal even if it is already checked. You may find you still need to add a carriage return or two to get your preferred spacing. |
