Editing Outlook Calendar Labels Print

For those of you who think color is the spice of life, try Outlook calendar labels. While Outlook includes a default set of 10 labels, you can create you own. These label colors work especially well with recurring meetings or conference calls.

Outlook 2002 and Outlook 2003 have a nice feature that allows you to color code calendar items. This is an excellent way to distinguish different type of items. For example, you can make conference calls yellow and a personal event green. These colors will appear when using the Day/Week/Month view.

Outlook also allows you to change the label text. The 10 default labels include:

Colors Labels

Red

Important

Blue

Business

Lime

Personal

Gray

Vacation

Orange

Must Attend

Aqua

Travel Required

Olive

Needs Preparation

Violet

Birthday

Green

Anniversary

Yellow

Phone call

After reviewing the list, you may decide to use your own labels. Personally, I don't think I would want my Vacation Label to be gray. And no, you can't change the defined colors so you need to swap out the text.

To change a Calendar Text Label,

1. Click the Calendar folder (Outlook 2002) or Calendar button (Outlook 2003).

2. On the Edit menu, select Label, and then click Edit Labels...

3. Edit the label text as needed.

To assign a calendar label,

1. Create an appointment.

2. In the Untitled - Appointment dialog, click the Label drop-down arrow.

3. Select your label from the list.

Alternatively, you can right-click your calendar item and select Label from the menu.
